Signed On Time Mobile Notary Services

Can a Notary Sign a Bill of Sale Without the Buyer?

Yes. A mobile notary can notarize the seller's signature on a bill of sale when the buyer is absent, as long as the seller appears in person and signs willingly.

If you're selling a car, boat, trailer, or other property and the buyer can't be there, a mobile notary can still notarize your signature on the bill of sale. Signed On Time is a mobile notary service based in Waynesville, Ohio, and I travel to sellers across six Southwest Ohio counties between Cincinnati and Dayton. This page explains what a notary actually does on a bill of sale, why the buyer's absence usually isn't a problem, and how to book.

Can you notarize a bill of sale if the buyer isn't there?

Yes, in most cases. A notary notarizes the signature of the person who is physically present, so when you are the seller signing a bill of sale, I witness and notarize your signature whether or not the buyer is in the room. As an impartial witness, my job is to confirm your identity, confirm you are signing willingly and understand that you are signing, and complete the notarial act on your signature.

The one limit is the same for every document: I cannot notarize a signature for a person who is not present. If the document needs both the buyer's and the seller's signatures notarized, each of you has to appear before a notary, but you do not have to appear together or at the same place. Many bills of sale only call for the seller's signature to be notarized, which is why an absent buyer usually does not hold things up.

Whether your particular bill of sale needs to be notarized at all, and whose signatures it requires, is set by the document and the party receiving it. I do not choose the document for you or decide whether notarization is required for your situation; that belongs to your buyer, the receiving office, or an attorney. What I do is notarize the signatures where notarization is called for.

What happens at a mobile bill of sale appointment?

I come to you, confirm your identity, watch you sign, complete the notarial certificate, and keep the required record. The appointment is short once the document is ready. Here is what to have in place before I arrive:

    • The bill of sale already filled in and ready to sign, but not yet signed. Ohio notarization requires me to witness your signature, so sign in front of me, not ahead of time.
    • Your identification that meets current Ohio requirements. If your ID is expired, damaged, or in a different name than the document, call before you book so we can go over it first rather than discover a problem at the table.
    • Any witnesses the document asks for. Witness requirements depend on the specific document, so check with whoever prepared it or will receive it.

I serve homes, offices, and other agreed locations, and same-day, evening, and weekend appointments are available depending on location, travel, timing, and urgency.

Is the bill of sale the same as the vehicle title?

No. A bill of sale records the terms of a sale between buyer and seller, while the vehicle title transfer is a separate step handled through government offices. Cars, trucks, and motorcycles title through the Ohio BMV, and the title transfer often requires the seller's signature to be notarized. Boats and watercraft title through the ODNR Division of Watercraft, which follows its own process. Whether a trailer needs a title depends on its weight and type, so confirm that with the BMV or your county title office.

I can notarize signatures on titles and bills of sale where notarization is required, but I do not complete BMV paperwork for you or tell you which forms your transfer needs. For the order of steps on a vehicle sale, our vehicle title transfer checklist walks through what the buyer and seller each handle, and you can see the range of papers I notarize on the documents we notarize page.

    What does it cost?

Ohio law permits a notary to charge up to $5 for a traditional or electronic notarial act, and that fee is not calculated per signature. Because I come to you, a reasonable travel fee may also apply. Ohio law allows a travel fee when it is agreed to before the notarial act, so I confirm it with you up front.

    ChargeHow it works
Statutory notarial feeUp to $5 per notarial act, set by Ohio law
Travel feeA reasonable amount, agreed before the appointment
TotalDepends on location, service, travel, timing, urgency, and assignment details; confirmed before your appointment

You will know the full total before I arrive, with nothing added after. Payment is accepted by cash, Venmo, or Zelle.

Who will be doing the notarization, and where do you travel?

I'm Terry May, owner of Signed On Time, and I handle appointments myself. As a mobile loan signing agent working across Southwest Ohio, I'm NNA Certified, carry a 2 million dollar errors and omissions policy, complete a yearly background screening, and have been commissioned as an Ohio Notary Public since July 28, 2017. Signed On Time is veteran-owned, and I bring 25+ years of commercial and residential lending experience to document signings.

I travel to clients across Hamilton, Warren, Montgomery, Butler, Greene, and Clinton counties, the Southwest Ohio area between Cincinnati and Dayton, with Waynesville as my base. Hours are 7 AM to 10 PM, seven days a week, with same-day and after-hours appointments available depending on schedule and distance.

    How to book

Call or text (513) 226-9052, or use the online booking page to request a time. Tell me the document, your location, and when you need it, and I will confirm the travel fee and total before we meet.

    Frequently asked questions

Does the buyer have to be present to notarize a bill of sale?

No. I notarize the signature of the person in front of me, so if you are the seller, I can notarize your signature while the buyer is absent. If the document also requires the buyer's signature to be notarized, the buyer must appear before a notary separately, but not at the same time or place as you.

Will my ID work if it's expired?

That needs a look before your appointment rather than a yes or no here. Ohio has current rules on acceptable identification, and an expired, damaged, or mismatched ID may or may not meet them. Call (513) 226-9052 before you book so we can check your situation and avoid a wasted trip.

Do you come to me, and where do you travel?

Yes, Signed On Time is fully mobile and comes to your home, office, or another agreed location. I serve Hamilton, Warren, Montgomery, Butler, Greene, and Clinton counties in Southwest Ohio, the area between Cincinnati and Dayton.

How much will it cost in total?

Ohio law permits up to $5 per notarial act, and a reasonable travel fee may apply because I come to you. The full total depends on your location, timing, and the appointment details, and I confirm it before we meet so there are no surprises.

Can you notarize the vehicle title as well as the bill of sale?

Yes, I notarize signatures on titles and bills of sale where notarization is required. The title transfer itself is processed through the Ohio BMV or your county title office, and boats go through the ODNR Division of Watercraft, so bring the paperwork those offices direct you to complete.

    Before We Arrive

Bring your document unsigned and a valid government-issued photo ID. If witnesses are required, we will let you know when you schedule.
